Quail Creek Ballroom Dance Club
BYLAWS
NAME AND PURPOSE:
The name and purpose of the club shall be Quail Creek Ballroom Dance Club, organized to provide social formal evenings for its members.
MEMBERSHIP:
The membership shall be 80 couples as determined by the Board of Directors. Should any Board decide to reduce the membership, it shall be done only by normal attrition. New members will be invited chronologically from the dated waiting list held by the Membership Chairperson of the club. In the event of the death of a member, dues will be refunded on a prorated basis. Single persons may become members by obtaining a couples membership and may bring a guest to each dance.
No member couple may send another non member couple to fill their place at a dance. In the event of illness, a member may bring a guest if the other member, of that couple, is unable to attend. Memberships may not be shared, pooled, transferred or given away.
WAITING LIST:
1) A membership form shall be submitted by prospective members. If there is no vacancy in the dance club, the couple's names will be added to the waiting list.
2) The Membership Chair will be the keeper of the waiting list.
3) The QCBDC Waiting List is used only for members interested in obtaining a membership in the club.
4) While on the waiting list a couple may be called to replace a member couple who is not attending a dance. The replacement couple will pay $70 and give their menu choices to the Membership Chair. The waiting list couple will abide by the dress code in the by-laws for the dinner/dances.
5) When offered a membership in the QCBDC, should the membership be turned down, the couples name will be removed from the waiting list.
6) Current members who have medical problems that prohibit them from a full membership shall be placed at the top of the waiting list. When their health improves they will notify the Membership Chair for reinstatement in the club.
DUES:
Annual dues shall be set by the Board each year, payable on or before the first of April for the coming year. Dues for the 2007-2008 season are $280.00 per membership couple. All monies will be deposited in a non interest bearing checking account.
OFFICERS:
The Board of the club shall consist of President, Vice President, Secretary, Treasurer, Membership Chair, Social Chair, Music Chair, Food and Beverage Chair, Publicity Chair, EXPO Chair, Webmaster, and an Advisor. One or more members may fill each of the Board positions.
SELECTION OF THE BOARD:
A nominating committee comprised of Board members shall recommend other club members for various board positions. No member shall serve on the Board, in the same office, more than two consecutive years. The new Board members shall be introduced at the last dance of the year by the outgoing Board Chairman.
GUEST OF MEMBERS:
All guests must be from out of town. Any exceptions to this rule will be at the Board's discretion. The charge for the guests will be $85. In addition, many of the nationally known bands specify, by contract, that their followers be admitted to the dance. A maximum of 5 follower couples per dance will be permitted each season. The cost will be $110.00 per couple for band followers.
ROSTER:
The Roster of the Club and the bylaws shall be made available on the Quail Creek Ballroom Dance web site.
DRESS CODE:
Men: If you have a tuxedo please wear it. If not, a dark business suit will be acceptable. White dinner jackets are also acceptable.
Ladies: Formal dress.
COUNT/DANCE FORMATS:
Members will be contacted four weeks prior to each dance. At this time members are to confirm whether they will or will not attend and indicate the meal of their choice.
Reserved Table-One person per table can reserve seating for 3-4 other couples (depending on capacity of the table). Tables will be drawn and recorded by the Membership Chair.
ATTENDANCE:
On arrival, members are to check in to receive their table number and their food choice slip. It is the responsibility of all members to sit at their assigned table.
These bylaws may be amended by a mail or e-mail vote of the club membership. A two thirds vote of the membership will be required to amend. There will not be an annual meeting of the membership.
